Apartment moves go wrong more often over paperwork than over packing. Here is what to confirm with your building before the truck shows up.

Elevator and loading dock

Call the leasing office and ask whether a freight elevator reservation is required, how far in advance to book it, and whether there is a fixed moving window such as certain hours on weekdays only. Buildings near downtown and the university fill these windows fast at the end of the month.

If there is a loading dock instead of street parking, confirm whether it needs a separate reservation from the elevator itself.

Certificate of insurance

Many buildings require a certificate of insurance naming the property before movers are allowed past the lobby. Ask for the exact wording the building needs and pass it to your moving crew at least a few days ahead so there is no delay at the front desk.

This is one of the most common reasons a move gets held up at the door, and it is entirely avoidable with a single email to the leasing office.

Floor protection and common areas

Some buildings require floor runners or corner guards in the hallways and elevator during a move, and a few charge a deposit that gets refunded after an inspection. Ask what protection is expected so your crew arrives with the right materials rather than improvising.

Note any existing scuffs in the hallway with the leasing office beforehand if a deposit is involved, so you are not blamed for damage that was already there.

Parking and access for the truck

Confirm where the moving truck can legally park, whether that requires a permit from the city or the building, and how far the crew will have to carry items from the truck to the door. A long carry distance changes how much time the job takes and should be part of the estimate, not a surprise on the day.

Move-out inspection and deposit

Before you hand back the keys, walk the unit with your phone and photograph every wall, the inside of cabinets, and the flooring, since this is your best protection if the deposit gets disputed later. Do this on move-out day itself, after the furniture is gone, so the photos show the unit as the leasing office will actually see it.

Keep copies of your move-in inspection alongside the new photos. Comparing the two side by side settles most deposit disagreements without an argument.
